The Heart of AI, LLC operates this website and the related public materials, services, shop items, and communication channels connected to AVA, FrostysHat, Human-Grade Systems Consulting, and related project pages.

This Privacy Policy explains what information may be collected, how it is used, and how it is handled.

Information collected

This website is designed to collect as little personal information as possible.

The Heart of AI, LLC may receive personal information when you:

  • purchase a Fixed Memo, Hatcoin, or other shop item;

  • submit materials for review;

  • send an email;

  • use a contact form;

  • request information about consulting, reports, or advisory work;

  • correspond about AVA, FrostysHat, Human-Grade review, or related materials.

This information may include your name, email address, billing or payment-related details handled through the site’s payment processor, correspondence, submitted review materials, and any context you choose to provide.

Payments, shop purchases, and donations

The site may accept payments for several types of support, purchases, and services.

Fixed Memos are productized professional review services. A Fixed Memo provides a written behavioral review of a submitted artifact such as a transcript, output, workflow, product page, prompt chain, support flow, or related system material.

Hatcoins are voluntary support or tip purchases for the public work, cultural artifacts, and ongoing development of the project. “Hatcoins” are a named as a playful tip receipt and do not represent equity, cryptocurrency, governance rights, or a guaranteed service deliverable.

Donations may be accepted through the site’s donation form as one-time or recurring contributions. Donations support the public work and ongoing development of the project. Unless otherwise stated, donations do not purchase a specific service deliverable.

Payment processing, commerce, and donation functions may be handled by third-party services such as Squarespace, Stripe, PayPal, or related providers. Those services may collect and process payment information according to their own privacy and security practices. The Heart of AI, LLC does not intentionally collect or store full payment card details outside the normal functions of those providers.

Review materials and correspondence

Materials submitted for review are treated as confidential.

This may include transcripts, outputs, product flows, prompts, screenshots, internal notes, examples, or other materials sent for a Fixed Memo, report, advisory engagement, or scope discussion.

The Heart of AI, LLC uses submitted materials only to understand the requested review, prepare the relevant written analysis, communicate with the client, and manage the working relationship.

NDAs are welcome and may be reviewed before sensitive materials are submitted. Teams should avoid sending unnecessary sensitive information. Where possible, redact personal information, customer-identifying details, regulated data, or confidential third-party material that is not needed for the review.

How information is used

Information may be used to:

  • respond to messages and inquiries;

  • process purchases;

  • deliver Fixed Memos, reports, or advisory work;

  • clarify scope, timing, or submitted materials;

Data retention

The Heart of AI, LLC may retain correspondence, purchase records, submitted materials, and completed review documents for business, tax, legal, archival, or service-continuity reasons.

If you would like submitted materials deleted after a review is complete, you may request that by email. Some records may need to be retained where required for legal, tax, accounting, dispute-resolution, or legitimate business purposes.

Security

Reasonable care is used to protect submitted materials and correspondence. No website, email system, payment processor, or online service can guarantee perfect security.

Please do not send unnecessary sensitive data. If an engagement requires sensitive, regulated, or confidential material, raise that before submission so handling expectations can be clarified.

Email outreach and opt-out

The Heart of AI, LLC may send limited outreach about AVA, FrostysHat, Human-Grade review, public resources, or related services.

If you receive an outreach email and do not want further contact, reply with “no thanks” or another clear opt-out request. Opt-out requests will be honored.
